The Harborview Adult Medicine Clinic has an outstanding opportunity for a FIXED DURATION Patient Services Specialist 1-Trainee or PSS 2 (Part-Time, Day Shifts). This position is expected to last 6 months. The Patient Services Specialist (PSS) is responsible for patient intake & discharge for the clinic, maintaining appointment schedules, answering & triaging telephone calls, coordinating service billing and interacting professionally with patients & their representatives, as well as with other internal/external staff.
General PSS Duties include:
•Greeting of patients and families.
•Ensure positive and professional first impression of the clinic.
•Maintaining pleasant atmosphere of waiting areas.
•Coordinating clerical patient care activities and/or specialized technical duties unique to the assigned clinic to assure accurate and expedited patient check-in and discharge, including obtaining consents for care and referral information.
•Advocating for the patient/family by locating appropriate staff to address concerns.
•Providing telephone screening of patient medical problems and severity of condition.
•Triaging patient telephone calls to clinical staff by determining the nature of the issue and initiating emergency procedure if and when necessary.
•Demonstrating proactive, professional communication across and within department to facilitate smooth workflow, and to ensure department is positively represented throughout the organization
•Performing cashiering duties for patient co-payments, when appropriate.
Daily departmental-specific duties include:
•Epicare experience or work in Epicare; inbaskets, electronic phone encounter messaging, answering cc'd notes and requests.
•Verifying and updating demographics.
•Work referral queues in Cadence as well as Epicare.
•Faxing; may include paperwork from/to Hopelink, DSHS inside and outside facilites, and referrals.
•Review of PCP panels and updating of PCP fields in medical records.
•Work recall, waiting lists, and referral queue.
•Scheduling/rescheduling appointments.
•Entering referrals including but not limited to all Radiology requisitions.
•Filing paperwork.
•Registering patients for eCare (electronic portal to access patient information).
•Collecting co-pays.
•Phone calls both incoming/outgoing.
•Ordering supplies.
•Creating and maintaining paper packets.
•Using organizational communications such as email, paging and text paging.
•Usage of Microsoft products (Word, Excel, PowerPoint).
•Collecting and distributing clinic mail.
•Obtaining electronic signatures for consents.
•Assisting in training of new staff.

•Greet patient and family with a smile; communicate pleasantly and in manner that optimize patient privacy.
•Promote and protect general safety for patients/families/friends and co-workers through adherence to correct procedures, timely communication of messages and test results, and appropriate consultation.
•Appropriately direct patients and others to other departments across the medical center.
•Act promptly and effectively during an emergency situation.
•Maintain/improve own professional competence, knowledge and skills to meet identified self-learning needs and annual review requirements.
•Apply appropriate policies, procedures, protocols, and standards of practice in performing duties.
•Support development of clinic and divisional efficiency and effectiveness.
•Demonstrate support for clinic and divisional policies and procedures.
•Promote and contribute to the development of team in clinic and working relationships between the clinic and other departments/disciplines.
•Arrange for patient transportation to outside facilities; request patient transportation within facility and escort patients to various treatment areas (if needed).
Appointing:
•Schedule appointments for patients, and order interpreter when appropriate.
•Serve as point of contact for patient financial registration. Verify accuracy of patient information and assign appropriate payor plans.
•Perform basic financial eligibility screening, verify patient’s health plan & primary care provider, and follow managed care protocols. Complete Medicare as a Secondary Payor form and obtain necessary signatures for consents.
•Process paperwork for patient check-in and check-out.
Office Tasks:
•Perform office tasks as needed including distribution of mail, creation of clinic-specific patient packets, and processing loose medical records papers.
•Maintain and use supplies and equipment in a cost-effective manner.
•Respond to inquiries by the appropriate route (telephone, fax, or email) and route to the appropriate individual.
• PATIENT SERVICES SPECIALISTS 1-TRAINEE REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR two years of general office experience OR equivalent education/experience.
• PATIENT SERVICES SPECIALISTS 2 REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR three years of general office or customer services experience OR equivalent education/experience.
