The UWMC Mother Baby Unit has an outstanding opportunity for a Patient Services Specialist 1-Trainee or PSS 2 (Part-time 60%, Day Shifts). The Mother Baby Unit (MBU) is an 18-bed, secure unit that cares for childbearing families in a family-centered environment. The Patient Services Specialist (PSS) sets the tone for the unit by presenting a calm, welcoming demeanor, combined with vigilance in visitor screening for our vulnerable population.

This position is pivotal role within the Mother Baby Unit and the PSS will demonstrate service excellence standards in performing the following functions:
• Reception and discharge activities
• Schedule appointments
• Coordinate ancillary appointments and referral process
• Check in patients
• Provide initial triage
• Coordinate medical records
• Verify and update registration information
• Perform other necessary activities to maintain unit operations

Additional duties include:
• Ensure smooth patient flow by paying attention to and communicating unusual events such as late arrivals and extended wait times 
• Obtain patient demographic information and insurance information accurately and legibly
• Respond to patient needs and concerns as appropriate
• Investigate complaints and works with unit manager to find solutions
•  Provide general patient services such as directions, parking garage validation, calling for transportation, etc. 
• Schedule appointments consistent with patient needs and clinic scheduling guidelines, including patient demographic information
• Assemble and send appointment and other information to patients and other customers 
• Using the electronic medical record, obtain necessary data from documentation to complete data entry
• Perform data entry into various database systems accurately and completely
•  Answer telephone in a professional and courteous manner according to UWMC standards and directs calls as appropriate 
•  Triage calls to appropriate staff and obtain necessary information for the return call
•  Initiate emergency procedures when necessary, using appropriate documentation tools
•  Communicate information on medical center programs to patients, referral agencies, University departments, physicians, and the community 
•  Coordinate referrals and managed care components of care delivery to enhance service to patients and ensure reimbursement to clinic
•  Obtain and verify necessary documentation ensuring patient care is covered by insurance plan, and/or to determine level of coverage and requirements for accessing benefits
•  Maintain ongoing documentation, tracking authorized referrals.  
•  Review referral and authorization forms for completeness and legibility Distribute
•  Review daily schedules system to identify required medical record requests
•  Order and coordinate medical records as needed 
•  Track medical records and distribute
•  Prepare medical record according to unit-specific procedures for patient visit
•  Assemble and maintain satellite medical records according to unit-specific procedures
•  Maintain the physical environment for safety of staff and patients and for aesthetic presentation of the area
•  Respond to facility and environmental emergencies according to established procedures
•  Inventory and order office supplies and forms from appropriate sources 
•  Sort, distribute, and mail faxes on a daily basis
•  Ensure daily functioning of office equipment 
•  Perform related duties, including filing, as required
•  Operate a multi-line phone system
•  Operate computerized scheduling, patient registration, medical chart ordering, online referrals, electronic medical records and other applications as needed
•  Utilize e-mail and Internet resources as required according to clinic practice and within University guidelines

•  Exemplary organizational skills REQUIREMENTS: Patient Services Specialists are hired as either PSS 1-Trainee or PSS 2, depending on experience and qualifications. The requirements are: 
• PATIENT SERVICES SPECIALISTS 1-TRAINEE REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR two years of general office experience OR equivalent education/experience. 
• PATIENT SERVICES SPECIALISTS 2 REQUIREMENTS: High School graduation or equivalent AND one year of experience in a health care setting OR three years of general office or customer services experience OR equivalent education/experience.
