The Department of Pharmacy has an outstanding opportunity open for a Temporary, Part-Time Program Operations Specialist at the Plein Center.
The 30% FTE Programs Operations Specialist will be responsible for managing the administrative operations of the Plein Center and the Plein Certificate for Geriatric Pharmacy for PharmD students. This position will routinely perform professional level program management for unique projects requiring independent judgment and decision-making. The Center builds on a 30-year history of comprehensive and state-of the art training in geriatrics as a leader in outreach and research to promote healthy aging.
The ideal candidate will be an enthusiastic, organized, outgoing self-starter who can contribute to the changing needs of the Center. Under general supervision from Plein Center Leadership, the Program Ops Specialist will plan and implement operations for the center to support the goals of each Center Core (Research, Education and Administration/Dissemination). The position works closely with diverse stakeholders internal and external to the UW school of pharmacy and requires flexibility and openness to differing ideas and perspectives.
Program Management 65%:
Serve as a welcoming resource and point of contact for accurate information about the Plein Center. Facilitate the onboarding of new members, visitors
Manage workflows and timelines of Center members to ensure annual event and project deadlines are met.
Coordinate website development/updates, drafting/disseminating communication materials, developing social media content, working with communications/graphics experts in areas of branding, visual identity.
Establish and maintain records/databases track center metrics and growth
Manage collection and organization of programmatic and research data. Prepare reports.
Schedule and coordinate logistics for Center related meetings – agendas, take and disseminate minutes/meeting materials.
Outreach and relationship development with Center partners, collaborators, community members, faculty, staff, and the larger public. Supporting communication channels, serving as liaison with other departments, schools, partners, and organizations as appropriate.
Budget tracking and forecasting with Center leadership, DOP grants manager/and or Administrator.
Ensure compliance and adherence to all University, SOP and DOP policies and procedures.
As necessary, gain familiarity with University policies and procedures for graduate students and fellows, connecting trainees with University resources.
Coordination with the Department of Pharmacy for HR and other centralized administrative matters.
As needed, discrete project support for the certificate program.
Other duties as assigned.
Educational Event Management 35%:
Work with Center Leadership and the SOP Office of advancement to implement comprehensive, logistical arrangements for Center events - scheduling, arranging travel, booking venues, arranging catering, identifying technical/AV needs, preparing event materials – signage, communications, etc.
Implement and coordinate all aspects of events related to the steering committee, geriatrics faculty, advisory group and others.
Identifying appropriate event budget and managing expenses per UW/state policy.
