Facilities Maintenance & Construction (FMC) is responsible for general maintenance, repair and renovations of all University of Washington (UW) main campus facilities including building interiors, exteriors and grounds.
We have an outstanding opportunity for a Preventative Maintenance & Asset Management Analyst.
Under general supervision and guidance from the Preventative Maintenance & Asset Manager, this position is responsible for developing and maintaining preventative maintenance (PM) standards, asset entry and organization into AIM, asset data analysis and reporting, PM metrics and reporting, and administration of the PM and asset management program in AIM.
The Preventative Maintenance & Asset Management Analyst position supports the Preventative Maintenance Manager in the creation and implementation of a preventative maintenance program across all of Facilities Maintenance. This position is responsible for optimizing the computer maintenance management system (AiM) to provide structure for the asset hierarchy, assign PM tasking, create PM templates, use industry standards to assign scope and frequency of PMs, and determine the scheduling of preventative maintenance work.
Duties and Responsibilities
Program Operations: Ensure asset data collection is entered into the system accurately while assigning equipment to systems structures. Develop PM tasking and scope of work for the assets and collaborate with the maintenance shops to develop time estimates so that staffing projections for PM work can be achieved for each maintenance zone. Monitor and report on the effectiveness of the PM program, collect data for balanced score card metrics, document deferred preventative maintenance, assist with administering scope and schedules for the building based maintenance program, maintain documentation for regulatory maintenance and issue requests for violation compliance.
Assist the PM & Asset Manager with implementing a program that represents the impact of preventative maintenance and its impact to the Facilities Maintenance budget. Analyze trends between PM work orders completed relative to corrective maintenance work orders. Provide cost analysis and demonstrate operational savings as it relates to increased prioritization and completion of PM work orders. Develop business reports such as Labor Utilization, Labor Forecast Estimates, Whole Life Asset Costing.
Collaborate with the maintenance zones on the prioritization of PM work order completion, develop reports for FMC leadership and managers to maximize savings in operational spending. Work with recharge customers on campus to develop PM programs to specifically support their buildings and assets.
Assist the PM & Asset Manager with maintaining the PM program for all assets in campus buildings. Help to prioritize both assets and schedules based on resource availability. Collaborate on establishing maintenance schedules as indicated by manufacturer’s specifications and good trade practices to minimize breakdowns and other interruptions in service.
Update and maintain the computer database to track PM execution. Develop a system to create work orders in AiM, FMC's existing work order system. As equipment information changes, ensure PM’s are created and generated and maintained in master files.
Assist the PM & Asset Manager in developing quality control programs to ensure PM is being performed in coordination with managers and supervisors and leads. Ensure new facility equipment information and maintenance procedures are accurate and updated in the database. Execute quality assurance programs to ensure PM database accuracy.
Coordinate with the Capital Projects Office (CPO) to ensure proper turnover of record documents including operation and maintenance manuals. Review all campus building projects to ensure they have included the appropriate PM systems prior to start-up. Ensure PM schedules are developed for assets in all renovated spaces and new construction.
Metrics: Monitor key performance metrics to make recommendations to managers in regards to staffing level requirements, performance of staff in executing scheduled preventative maintenance, and identify gaps in service or completion of work to improve production and efficiency.
Coordination & Collaboration: Represent the Preventative Maintenance & Asset Manager as needed with internal, external or organization constituencies.
Compliance: Ensure organizational compliance with applicable laws and regulations. Interpret requirements; develop, document, and implement procedures; conduct or oversee analysis and reporting; implement or make recommendations for remediation or correction as necessary. Prepare and manage compliance reports for regulatory agencies. Maintain record keeping for all regulatory maintenance, communicate with local and state agencies in regards to violation notices, completion of tasks, and closeout of compliance issues.

Requirements include:
• Bachelor’s degree AND three years of experience in one or more of the following: asset management, data analysis, and/or reporting.
• Outstanding interpersonal and oral/written communication skills and a proven ability to work successfully with people at all levels throughout the organization and with a wide range of internal and external stakeholders. Proven ability to maintain professional behavior and composure in a fast-paced, dynamic, customer service-driven environment.
• Excellent organizational skills. Able to work independently and successfully prioritize and coordinate multiple programs and assigned tasks. Demonstrated flexibility to meet changing and unpredictable requirements.
• Excellent problem-solving skills. Able to analyze complex information, define problems, and develop and implement creative, cost-effective solutions.

Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
Desired:
• Bachelor’s degree in business, economics, statistics, construction management or related field.
• Experience with preventative maintenance programs and maintaining an operational capacity in a preventative maintenance administrative role.
• Specific experience using Asset Works Software (AIM) in a university environment for asset management or preventative maintenance.
• Operations and program management experience in an institutional environment and/or urban setting. Management experience in a public sector setting.
• Familiarity with and experience incorporating lean management principles in the work environment.
• Proficiency with a computerized maintenance management system.
• Valid driver’s license recognized by the State of Washington.
Conditions of Employment:
• While usual hours fall within standard business hours, work may be required during hours beyond standard business hours including weekends. Position requires flexibility to deal with emergency situations, meetings, or other scheduled work that may fall outside normal work hours.
• Professional travel may be required.
• The majority of work is normally performed in a typical interior/office environment, however, work will regularly require outdoor or fieldwork with exposure to the elements and variable weather conditions or in a variety of mechanical spaces and other non-typical interior spaces.
