The University of Washington Counseling Center provides a safe environment to help UW students explore the challenges of life and learning via mental health counseling, preventive educational programming, advocacy, and consultation. We are seeking a full-time Program Coordinator to support our staff in a variety of duties.
DUTIES & RESPONSIBILITIES
Coordination of Front Desk Operations
o Provide leadership and oversight at the front desk of our busy student services department. The person will be responsible for maintaining a positive atmosphere for students and staff, trouble-shooting problems that arise with front desk coverage or technology, and alerting departmental leadership when issues arise.
o Provide direction to Program Assistants as needed, including guidance and modeling of appropriate in-the-moment response to complex situations and students in distress
o Respond to situations at the front desk involving intervention with a student in crisis
o Serve as primary relief and provide back-up for Program Assistants: perform front desk duties (e.g., schedule appointments, determine eligibility for services, answer calls, provide a welcoming customer service environment, monitor physical security of the Center, engage in problem-solving, safeguard confidentiality of client records)
o Provide coordination of lunch and break coverage, as well as ensuring opening and closing coverage and procedures.
General Counseling Center Program Coordination
o Hold multiple security roles in Workday; e.g. Time & Absence Initiate and I-9 Coordinator
o Review multiple ProCard accounts to assign appropriate object codes, budgets, and enter transaction notes for Administrator review
o Process employee reimbursement and travel reimbursements for review
o Maintain source documentation for purchases and reimbursements according to records retention schedule
o Provide oversight for career assessment fee collection and deposit funds monthly according to current University process
o Oversee acquisition of special purchases, order business cards, and issue keys
o Manage surplus of Counseling Center property, coordinate departmental telephone services
o Coordinate special events, complete special projects as assigned by leadership team
Provide Technology Support and Website Maintenance
o Provide consultation and troubleshooting for staff computer problems, referring to and following up with UW-IT as needed
o Manage and update the Counseling Center’s website and email account
o Provide training and troubleshooting for web cameras, iPads, and other equipment
REQUIREMENTS
o Capacity to multitask under pressure and respond professionally to all students and community members, including those in distress
o Ability to exercise judgment and collaborate effectively in the solution of practical problems relating to office operations and data collection
o Demonstrate sensitivity to multicultural issues and proven ability to interact with diverse individuals and groups
o Excellent customer service and communication skills
o Must be flexible and able to work in a dynamic and fast-paced environment.
o Maintain clinical confidentiality standards per the American Psychological Association, RCWs for mental health providers, and FERPA
o Ability to provide technology support to staff and coordinate with UW-IT as needed
o Experience designing and/or modifying web pages using WordPress
o Experience using Microsoft Office and other software; ability to learn new software applications.
o High school graduation or equivalent AND two years of work experience in a healthcare/mental health setting or working with students/clients in distress OR equivalent education/experience
