The UWMC Perioperative Department has an outstanding opportunity for a FULL-TIME PROGRAM COORDINATOR (DAY SHIFTS) for the OR Implant Rooms. Under general supervision of the OR Business Manager, the Implant Program Coordinator is responsible for the daily operations of the OR Prosthesis Program pertaining to facilitation of implant availability, billing, expense, inventory management, and providing excellent customer service. This position requires in-depth knowledge of implants, including their usage, application in surgery, tracking, and storage.
The Program Coordinator is responsible for the following tasks and other duties as assigned by the OR Business Manager:
FACILITATE AND COORDINATE IMPLANT AVAILABILITY:
- Notify vendor of implant needs.
- Coordinate and confirm implant availability according to the OR schedule in advance of the procedure.
- Set up needed implants the day prior to surgery.
- Deliver and retrieve implants to and from Operating Rooms on the day of surgery.
- Respond to requests for unanticipated implants and facilitate prompt delivery to the requesting Operating Room.
- Serve as liaison regarding implants for clinicians.
- Be accountable for related implant issues and identify opportunities for improvement.
- Communicate with surgeons, nurses, vendors, and Supply Chain to resolve issues pertaining to availability of implants.
INVENTORY MANAGEMENT:
- Utilize HEMM, HSM, and TrackCore for ordering, inventory control, and generation of reports.
- Restock implant sets and facilitate their sterilization.
- Receive implants and related supplies into inventory. Examine products for quality, quantity, and exactness to original purchase order.
- Work with Supply Chain to return damaged goods or unneeded implants.
- Conduct weekly cycle count to maintain correct inventory and par levels and identify soon-to-be expired products. Notify vendor of soon-to-be expired item(s) that are consigned. Maintain wastage report.
- Use eProcessing to add new implants and modify inventory.
- Work with RN3s to identify appropriate par levels and adjust inventory, discontinue rarely used products, and identify substitutions or alternatives for back-ordered implants.
- Participate in annual inventory audit.
- Facilitate implant evaluation.
REVENUE AND EXPENSE CAPTURE:
- Collect implant records on the day of surgery.
- Identify implants used on the implant record for billing.
- Use eProcessing to add new items for billing.
- Work with the OR Billers to ensure complete billing and reconcile billing issues.
- Submit Bill-Only requisitions for per-case implants.
- Reconcile Bill-Only requests received from vendors. Ensure that all items are appropriately paid and billed.
DESIRED:
- Bachelor's degree.
- Demonstrated experience working with medical supplies and billing activities.
- Experience working with implants in an Operating Room and their application.
- Experience with receiving and distributing inventory in an Operating Room.
- Knowledge of medical terminology.
- Knowledge of FDA regulations and TJC guidelines pertaining to implants/prosthesis.
- Positive teamwork attitude and high-quality customer service.
- Ability to work in fast-paced and stressful situations.
- Proficient with Word, Excel, and Outlook.
- Proficient in writing skills and verbal communication.
