We have an outstanding opportunity for a Program Operations Specialist to support the work of the Office for Faculty Advancement (OFA), coordinate the Greater Washington State Higher Education Recruitment Consortium (GWS HERC) and the UW’s institutional membership with the National Center for Faculty Development and Diversity (NCFDD), manage staff diversity efforts through the Office of Minority Affairs and Diversity (OMA&D), and supervise the program coordinator position and one or more graduate and/or undergraduate student employees. The position requires working directly with faculty, department chairs and directors, chairs of faculty search committees, HR staff, and hiring managers across the three UW campuses.
The Program Operations Specialist must have a good understanding of faculty recruitment and retention policies and practices within the context of academic units’ goals and missions. Additionally, the position must be able to collaborate and partner across campus units to inform and promote tools and resources that support diversity recruitment. This position supports the efforts of the Associate Vice Provost for Faculty Advancement to achieve the successful recruitment and retention of diverse faculty.
Institutional Transformation and Staff Diversity
• Assume responsibilities for developing, planning, and leading campus- and university-wide projects and events related to institutional transformation, as well as additional duties assigned by the Associate Vice Provost.
• Maintain and regularly update the Staff Diversity Toolkit. Develop, offer, and co-lead workshops on best practices for staff hiring based on the Toolkit.
• Supervise the Program Coordinator and graduate and/or undergraduate student assistants. Direct and oversee staff performance. Manage hiring and training, assign work, conduct performance reviews, implement disciplinary actions if necessary, and resolve problems.
Office for Faculty Advancement
• Assist the AVP in developing and implementing policies, strategic plans, educational programs, and resources to recruit, retain, and support a diverse and inclusive faculty. Assist with regular revisions to the Handbook of Best Practices for Faculty Searches and regularly update the online Toolkit. Maintain a comprehensive understanding of relevant federal, state, and university policies and procedures.
• Regularly compile and prepare written analyses of annual faculty data from national sources and UW Academic Personnel, HR, and EOAA reports.
• Manage budgets and general operations, and prepare annual reports on the work of the Office for Faculty Advancement.
• Manage the university’s institutional membership with the NCFDD and coordinate NCFDD outreach to members of the UW community.
GWS HERC
• Lead and manage general operations of the GWS HERC, including all GWS HERC correspondence and inquiries and budgets. Recruit additional member organizations within the GWS HERC region. Serve as principal liaison between GWS HERC and member organizations. Develop initiatives and consult with GWS HERC advisory board on program planning and development for future growth of the consortium. Develop, maintain, and provide training for GWS HERC jobs website; provide regular website data reports to consortium members. Write GWS HERC web page content and oversee work on the GWS HERC web pages to maintain consistency in messaging across sites. Manage relationship and contracts with software and internet service provider vendors, as well as other GWS HERC member organizations, in coordination with legal counsel.
• Create and maintain budget reports, including tracking and reporting GWS HERC membership dues collection and budget expenditures, and prepare budget reports to the GWS HERC advisory board and national organization.
• Serve as a member of and participate in meetings of the National Higher Education Recruitment Consortium. Develop, plan, coordinate, and lead GWS HERC events, such as regional conferences, meetings, and advisory board meetings. Approve and arrange budget, agenda, speaker recruitment, travel, public relations, media, and communications.
Requirements include:
• Bachelor’s Degree in Communications, English, Public Administration or a closely related field
• At least four years’ management and/or supervisory experience in a university setting
• Respects, values, and is interested in contributing to the UW’s commitments to diversity, equity, and inclusion
• Ability to work well in teams and as a team leader/facilitator
• Strong organizational skills, attention to detail
• Experience leading and managing multiple projects
• Experience managing multiple budgets
• Adaptable and able to act quickly when the situation demands
• Excellent verbal and interpersonal communication skills
• Strong public presentation skills
• Strong writing skills: ability to communicate in diverse written formats and media, and ability to tailor messages for a variety of audiences
• Proficiency with MS Office and electronic calendaring systems
• Proficiency with Excel spreadsheets
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
