We are pleased to open a Programs Operations Specialist position in UW Study Abroad, within the organization of the Office of Global Affairs. The working title for this position is Faculty-led Program Coordinator. This position provides administrative support for the faculty-led program team and manages a portfolio of UW faculty-led programs under the general direction of the Associate Director. It involves extensive work with UW Study Abroad staff and some work with UW faculty and staff. This position's duties are focused on faculty-led program operations, management, and outreach.

The Office of Global Affairs (OGA) is a catalyst and a hub for all things global at the UW, connecting the diverse internal and external networks of scholars, students, and community leaders engaged with international issues. OGA’s major activities include:
o Initiating and supporting scholarly research on global issues across campus units and departments, disseminating information about relevant faculty expertise, funding opportunities, and institutional ties abroad.
o Providing a portal through which external stakeholders - including business leaders, representatives of local, regional, and national government, NGO activists, international alumni, and ethnic and cultural affinity communities - can learn about and participate in campus activities and resources.
o Serving as a central guide and resource for developing and successfully implementing study abroad program, collaboration with international scholars, the conduct of global research, and the design and nurturing of foreign institutional partnerships.
o Supporting UW community members in planning and carrying out UW’s international scholarship and business in a safe, productive manner.
To facilitate these functions, OGA has five main areas of responsibility: administration of study abroad and exchanges; support for international research; oversight of UW's centers and offices abroad; management of UW international relations and protocols; and coordination of strategic initiatives in the key areas of global health, global environment, global technology, global development challenges, and global cultural change.
In order to effectively manage aspects of faculty-led programs, the program operations specialist must keep track of numerous moving timelines at once.
This person must have the expertise and ability to:
o Track a high volume of time-sensitive program-related tasks;
o Work closely with numerous staff members to manage study abroad programs;
o Anticipate the needs of UW Study Abroad staff and program directors as they plan these study abroad programs;
o Use technology effectively and efficiently to manage and disseminate information to students, staff, and faculty;
o Provide on-going support to faculty and students before, during, and after programs with regard to financial, administrative, and programmatic matters;
o Use good personal judgment and knowledge of UW systems, processes and rules/regulations to ensure that programs are of a high academic quality and are in compliance with UW best practices and policies. Able to lead and make decisions independently with some mentorship and direction from the supervisor;
o Guide faculty in addressing program challenges and student emergencies in country, sometimes after hours or on weekends. When necessary (and in compliance with FERPA regulations), communicate with a student’s emergency contacts regarding issues abroad;
o Form positive, productive relationships with UW Study Abroad staffers, UW departments, faculty and staff, partner institutions, and worldwide contacts in order to advance the UW's international programs;
o Develop systems to accommodate the high number of programs and volume of work;
o Diplomatically address problems with program leadership and students.
The position will work closely with the Faculty-led Program Team to assist with the facilitation of study abroad programs, as well as managing aspects of program operations. It entails working with all UW Study Abroad staff collaboratively — before, during, and after the particular study abroad program period. The ideal candidate must be pro-active, able to work without close supervision, an effective planner, and highly organized.
Duties & Responsibilities
(50%)-Program Administration: assist the Faculty-led Program Team, which facilitates programs serving approximately 1,700 students and nearly 100 faculty annually. Duties include but are not limited to:
(35%)-Other Program Operations Duties: under the supervision of the Associate Director, the Program Operations Specialist will be actively involved in the following:
