The Program Operations Specialist-Temporary supports the Center for Women’s Welfare (Center) at the UW School of Social Work. The Center is devoted to furthering the goal of economic justice for women and their families, researching questions involving poverty measures, public policy and programs that address income inadequacy. We partner with local and state governments, as well as a range of nonprofit women’s, children’s, and community-based organizations across the country to calculate and update the Self-Sufficiency Standard, as well as conduct demographic studies that build on the Standard. The Center’s research tools are ultimately used to increase minimum wage laws, and strengthen public investment in programs that benefit low-income women, children, and families.
School of Social Work has an outstanding job opportunity for 6 month, 20 hours/week Program Operations Specialist.
RESPONSIBILITIES:
Budget/Fiscal Management – 60%
Liaise and represent unit in fiscal and administrative management for research projects to internal and external constituencies such as the, UW School of Social Work, Office of Sponsored Programs, vendors, and funding agencies
Research, interpret and implement funding agency fiscal guidelines and rules
Monitor the Center’s overall budget: incorporate new grants into CWW tracking spreadsheet, reconcile budget spreadsheet after funds are expended to ensure that funds are disbursed by the grant end date, manage salary distributions, and obtain no cost time extensions as needed at sponsor’s request
Provide financial planning and award administration support, including budget management, expenditure transactions and preparation of fiscal documents for external purposes.
Provide management of grant proposals: work with research staff to draft grant proposals, create grant budgets (calculate personnel FTE’s, operating expenses, indirect costs) and budget justifications, review proposals and contracts for accuracy and ensure compliance with University and agency guidelines, etc.
Monitor financial activity on grants and create budget forecasts.
Prepare, analyze and distribute budget reports to principal investigator(s). Take corrective action to respond to budget variances.
Review expenditures for compliance and correct/adjust transactions as needed.
Communicate effectively with principal investigator(s) and the Office of Sponsored Programs (OSP).
Track research project timelines and milestones; notify GCA for invoicing
Reconcile budgets, under the direction of the School of Social Work
Prepare fiscal materials for interfaces as needed including some billing, CTIs, etc.
Facilitate closeout process for awards. Verify that final sponsor reports have been submitted on time, and that submissions have been properly documented with OSP and GCA as appropriate.
Administrative Management – 20%
Coordinate general support of the Center: handle purchasing (office supplies, computers, software, etc.), facilities management, approving time sheets, and preparing and submitting travel reimbursements
Coordinate human resources and staffing needs in support of the research activities, including creating job descriptions, recruitment, screening, and maintaining records
Research and Publishing Support – 20%
Create content for promotion of the Center's research activities (including news releases, correspondence to research partners, social media posts, website pages, presentations)
Copyedit reports, briefs, presentations, and other written materials produced by the Center; edit materials for accuracy, appearance, readability, and style
Prepare documents for print and web publishing by checking documents for accessibility including integrating text with graphics for screen readers; upload documents to website
Package final deliverables for research sponsors including generating print and web PDFs, exporting images to JPG for social media and presentations, uploading and sharing files
Perform word processing tasks such as merging data from a PDF into Excel and sorting
Conduct literature searches to support the research as needed for development of grant proposals and articles
Other duties as assigned
QUALIFICATIONS:
Education
Bachelor's degree in business administration, public administration, economics, communications or related field OR equivalent education/experience.
Required:
Two to three years of budget and grant management experience (academic setting preferred)
Proficiency with MS Excel and understanding of basic mathematical equations and statistics
Excellent communication skills: oral and written
Ability to work collaboratively with others, as well as independently
Ability to successfully manage projects that require attention to detail and involved organizing multiple tasks
Desired Experience:
Experience with UW online systems (Grant Tracker, SAGE, Workday, & MyFinancial Desktop)
Experience developing and coordinating research proposals and projects
Experience with Drupal, Adobe InDesign, Adobe Illustrator, or Tableau; Proficiency in Microsoft Office Suite
Experience and interest in welfare, poverty, income and women’s issues
