Harborview Ambulatory Float has an outstanding opportunity for a Program Support Supervisor II (Full-Time, Day Shift).
Under the general direction of the department manager and the Program Operations Manager, the Operations Supervisor is responsible for a variety of supervisory, administrative and departmental financial functions. These responsibilities include: customer service, operations/finance, data management, personnel management, supplies and non-clinical equipment management, quality control and improvement, new staff orientation, and data collection and reporting. The Operations Supervisor takes a proactive role in the efficient operation of the department. This position is responsible for the overall leadership and supervision of the Patient Service Specialists in the float pool and other designated personnel. This role is also responsible for the coordination and monitoring of schedules, payroll, and other systems that support the nurse manager. The operations supervisor is responsible for the over daily coordination of the float pool operations.
Job Duties & Performance Standards
• Assure and maintain a current knowledge and practice of UWMC payroll and personnel systems.
• Manage department personnel files, personnel actions, competencies, and education records for all employees.
• Maintain a current knowledge base of HMC and unit specific information systems. Proactively works to improve programs and systems.
• Coordinate and maintain systems for purchasing non-clinical equipment and supplies.
• Participate in all phases of scheduling of all staff, including vacation approval, initial schedules and management of schedule changes.
•Responsible for initiating, hiring, setting contract terms, terminating, daily activities and performance evaluations of PSS’s and other designated personnel.
• Maintain a safe environment for patients and staff.
• Work collaboratively as a member of the department leadership team to develop and maintain systems for monitoring expenses and unit productivity; collect and analyze budget information and initiate plan as appropriate.
• Work collaboratively as a member of the department leadership team, taking a proactive role to ensure the smooth and efficient operation of the unit
• Coordinate and maintain systems for orientation of new staff to Harborview.
• Coordinate the daily staffing assignments of the float pool.
• Maintain staffing databases and notification systems.
Job-Specific Requirements
Language Skills
• Able to communicate effectively in English, both verbally and in writing.
• Demonstrates interpersonal relationships in a manner which enhances communication, promotes conflict resolution and facilitates staff development.
Other Skills
• Strong analytical, organizational, interpersonal and demonstrated customer service skills required.
• Supervisory experience strongly preferred.
• Basic computer knowledge. Experience with each of the following programs: Excel, Microsoft Word.
• Demonstrates leadership abilities.
• Ability to prioritize, delegate, and manage multiple projects and responsibilities simultaneously.
• Ability to work under pressure in a fast paced environment and meet deadlines.
• Strong interpersonal skills in order to communicate effectively with a diverse group of hospital and non-hospital personnel.
• Basic financial and accounting skills.
• Basic understanding of medical terminology.
