The National Alzheimer's Coordinating Center (NACC), housed administratively in the Department of Epidemiology within the School of Public Health, was established by the National Institute on Aging/NIH in 1999 to facilitate collaborative research among the 29 NIA-funded Alzheimer's Disease Centers (ADCs) nationwide. NACC developed and maintains a large relational database of standardized clinical and neuropathological research data collected from each ADC, and this database provides a valuable resource for both exploratory and explanatory Alzheimer's disease research.
The Department of Epidemiology has an outstanding opportunity for a Research Administrator. The Research Administrator works under limited supervision, and must demonstrate the ability to work independently, but must also be able to interact and work closely with all groups within NACC including Data Management, Data Quality Assurance, and Research Support. Good project management and communication skills are essential. This position will report to the NACC Director.
RESPONSIBILITIES:
Formulate the general administrative policies of NACC: develop, implement, interpret, and provide counsel regarding NACC policies and procedures as well as those of the University of Washington, the State of Washington, and federal agencies; develop and administer procedures for new NACC activities in conformance with institutional and program sponsors’ policies. Participate in the development of long-range strategic planning and priorities for NACC.
Administer the budgetary affairs of NACC, including financial planning, monitoring, and forecasting: prepare cost estimates and projections of current and future needs and recommend appropriate action; analyze effects of proposed actions; audit and approve expenditures, requisitions, vouchers, payroll and personnel changes for accuracy and compliance with policies and procedures; analyze problem areas and recommend or take corrective action; provide monthly and annual budget reports and projections, detailing income and expenditures; collaborate with and provide guidance to Director in managing sponsored research budgets.
Direct NACC’s administrative team: develop and implement effective and efficient administrative procedures and supervise a Public Information Specialist, a Program Operations Analyst, and Digital Learning and Communications Specialist.
With delegated authority, assume full administrative and functional responsibility for NACC nonacademic personnel matters: develop (or review and approve) job descriptions for professional staff positions in concert with Department of Epidemiology Human Resources including administration of the employee recruitment process; approving of new or replacement positions; setting or approving salary recommendations for submission; recommending hourly classifications and rates of pay for approval by UW central compensation; providing counsel to project and unit directors on personnel issues; reviewing performance evaluations; and in conjunction with the Director, managing annual merit processes for non-academic employees. The position also oversees implementation of Academic Student Employee union contract rules; and works with appropriate departments in composing offer letters for NACC faculty.
Coordinate grant proposal preparation for new and continuing grants and contracts on behalf of the unit, including ensuring compliance with University and granting agency policies and procedures; review for proper completion of all grant-related forms, oversee and ensure the timely preparation, review and submission of proposals.
Manage use of NACC’s rentable leased space, including space and equipment analyses and facilities modification; allocate office space in accordance. Serve as primary contact for the unit with the UW Real Estate Office and Building Management; approve leases and renovations. Approve computing hardware and software purchases and assignments on recommendation from Data Group.
Provide general direction in the areas of human subjects coordination, interaction with the UW Internal Review Board, licensing and copyrights, and records retention.

REQUIREMENTS:
Bachelor’s degree in Business, Finance, Human Resources or Business related field AND five years of increasingly responsible administrative experience at a major research university or the equivalent combination of education and experience. Master’s degree preferred (MBA, HR).
Experience managing federally funded research with significant experience managing NIH grants. Experience with the preparation and submission of grant proposals to federal agencies.
Proficient with Microsoft Office tools and budget tracking systems using Excel.
Demonstrated experience developing and/or using technical solutions to solve problems and enhance efficiencies.
Extensive experience managing multiple projects and budgets simultaneously.
Managerial experience in all facets of personnel administration including developing policies and procedures, supervision, the selection/hiring process, performance evaluations and disciplinary process.
Proven ability to lead a team and work collaboratively, ability to identify priorities and make critical decisions.
Strong track record of effective supervision; ability and desire to support individual professional development opportunities and to promote cross-training.
Excellent communication and interpersonal skills.
Understanding of the support requirements of a research environment and the desire and ability to carry them out.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.
DESIRED:
Experience working within the University of Washington system as well as experience with cost centers.
