The University of Washington’s Human Subjects Division within the Office of Research, has an outstanding opportunity for a full time Senior Administrator based at UW Tower. This recruitment is open to UW Office of Research employees only.
The Senior Administrator position is the mid-level position in a series of Human Subjects Division (HSD) positions that also include Administrators and Team Lead (Manager). Most HSD teams have one Team Lead, one Senior Administrator, and a varying number of Administrators. The Senior Administrator shares the following specific responsibilities with the Team Lead, although under the overall direction of the Team Lead: coordination of the team’s workload; coordinating the activities and meetings of the University of Washington (UW) Institutional Review Board (IRB) meetings; providing guidance and consultation to team members on complex or challenging work assignments; and training new members of the team. Through these activities, the Senior Administrator contributes to the Team Lead’s supervision of the team. The Senior Administrator also contributes feedback for the Team Lead’s performance evaluation of team members, and assumes most of the Team Lead’s responsibilities during the Team Lead’s leave absences.
RESPONSIBILITIES:
Independently conducts regulatory assessments and IRB review of materials describing proposed human subjects research as well as providing consultation to UW researchers. Independently makes and documents numerous required regulatory determinations about proposed research and scholarly activities, including: identification of activities requiring IRB review; identification of which participating groups must be considered human subjects; whether the activity is eligible for use of the UW IRB; required type of IRB review; and identification of all applicable state and federal regulations. Together with the Team Lead, the Senior Compliance Analyst is expected to take on the more complex and challenging assessments, reviews and consultations.
In cooperation with the Team Lead, serve as source of authoritative guidance for team member questions about regulatory and ethical issues and problem-solving review approaches. Provide direct consultation, education, and problem-solving through phone calls, in-person meetings, and classroom presentations to UW faculty, research staff, residents/fellows, and students about specific planned research and/or about human subjects research ethics, regulations, and review processes. May include assistance with developing "review-ready" applications and permission/assent/consent forms. Training of new team members is provided as part of HSD's broader system of education and training, and do not generally involve independent development of educational materials and programs outside of that system.
Oversee and guide reviews conducted by the full convened IRB committee. Assist the Team Lead with the coordination of IRB meetings. This includes developing the agenda for IRB meetings, using judgment to assess the readiness of material for review and competing priorities. Identify the appropriate primary reviewer. Obtain scientific, medical, and ethical consultation for reviews as needed. Serve as the regulatory expert and voting member at the IRB meeting in the absence of the Team Lead. Assist with the production and distribution of IRB minutes that meet regulatory requirements.
Examples include: organizational effectiveness activities; participating in the development or revision of policies, procedures, and forms; contributing to the performance evaluation of team members; assume most of the responsibilities of the Team Lead when the Team Lead is out on leave.
REQUIREMENTS:
Computer proficiency is required, including MS Word, Excel, internet browsers, and email.
The qualities of the successful candidate will include most or all of the following: (1) comfort with making judgment calls in ambiguous situations; (2) highly organized at tracking and prioritizing work; (3) outstanding attention to detail; (4) ability to write and speak in concise, accurate, and intelligible manner; (5) ability to work independently with minimal supervision; (6) analytical and problem-solving skills; (6) diplomatic and professional interpersonal skills; and (8) ability to work well as part of a team in conditions of high volumes and rigid deadlines.
Equivalent education/experience will substitute for all minimum qualifications except when there are legal requirements, such as a license/certification/registration.

CONDITIONS OF EMPLOYMENT:
A standard open-plan office environment. HSD occupies parts of two floors in the UW Tower, a high-rise office building on the edge of campus. Some weekend and evening work may be required (at home or on campus), due to work volume. Meetings and in-person presentations will occasionally occur at some locations away from the main campus (e.g., Harborview, Seattle Cancer Care Alliance, South Lake Union, the Bothell campus, and the Tacoma campus). The Senior Administrator must provide his/her own transportation, which can include use of frequent free UW shuttles to some (but not all) locations. The UW does not provide employees with free parking; parking is available at the Tower for a fee, and subsidized transit passes are available. Some work schedule flexibility is available and encouraged. Working from home is also available on a limited basis and within certain scheduling constraints.
