Health Services has an outstanding opportunity for a Student Services Counselor.
This full-time Student Services Counselor position is part of the team supporting the graduate degree programs in the Department of Health Services. The primary focus of this position is on three tuition-based Doctoral (PhD), Master of Public Health (MPH) and Master’s of Science (MS) programs. Working under the general direction of the Program Operations Manager, the Services Counselor will administer student advising programs and professional development activities.
This position will work towards diversity goals related to admissions and student support, and will be expected to know and work toward the strategic goals of the Department and School of Public Health. Additionally, the Student Services Counselor will use independent judgment in interpreting and applying the rules and regulations of the programs, the Department of Health Services, and the University of Washington.
Housed in the UW School of Public Health, the Department of Health Services is a dynamic academic and research department with the mission of working with partners in public health and health care to prepare leaders, design solutions, and conduct innovative research that is translated into practice and policy. The Department is steadfast in its efforts to improve and promote the health of all populations, and staff contribute daily and directly to the work of faculty, students, researchers and other staff, providing support and expertise to the Department's common cause.
Duties and Responsibilities:
STUDENT (ACADEMIC) AND PROFESSIONAL DEVELOPMENT ADVISING
•Manage enrollment, (pre)orientation, and current student communications; send reminders of program expectations and due-dates
•Advise current students on a wide range of academic and professional development topics and resources, requiring knowledge of both fee-based and state-funded student services (e.g., different registration and payment processes) and policies and procedures
•Support program manager in aligning and maintaining student resource information across MPH programs in Health Services
•Track PhD, MPH and MS student data (including quarterly registrations and degree benchmarks) and advise manager and students, as appropriate, on student progress toward completion of requirements
•Collaborate on and maintain career development resources (regional/national public health systems, networking, jobs listings, skill development opportunities, conferences, etc.)
•Support development and implementation of professional development activities that complement SPH and UW offerings (e.g., building mentor relationships, networking, grant and/or resume writing, interviewing and/or presentation skills, etc)
•Coordinate annual practicum and capstone/thesis processes and presentations
•Coordinate annual program specific events (orientation, graduation, etc)
•Coordinate annual admissions communications including applicant advising
•Collaborate with MPH-PhD staff group on nominations for student awards and efforts to secure funding
•Assist PhD students in preparation for annual research meetings
PROGRAM ADMINISTRATION
•Supports data entry in HSERV database for applicants, students, and alumni
•Support the MPH and PhD admissions committees including the admissions preparation and review processes
•Assist with development of quarterly and/or annual reports – e.g. student progress assessment, theses and capstone projects, professional development workshops, etc
•Administer processes and track progress and data associated with HSIP, capstone projects/theses, mentor program, practicum, etc
•Solicit and compile various student progress and planning documents
•Assist in preparation of purchasing and travel documentation for planning and reimbursements
•Track relevant budget activity; report to program manager
•Take minutes, create agendas, and participate in range of program meetings
•Coordinate the annual preliminary exam process and thesis/dissertation defenses
•Work closely with Program Information Specialist to inform and support the annual marketing and student recruitment activities, particularly in support of inquirers and (prospective) applicants, events, and social media content
•Provide additional support for alumni relations and alumni database
•Assist with special projects/other duties as assigned
TRAINING GRANT ADMINISTRATION
•Submit trainee appointment and termination forms to NIH
•Collect and organize information for, and produce tables required on training grants
•Draft text for routine correspondence and reports
•Provide support for the submission of training grant reports and proposals
•Provide fiscal support via tracking expenses, check requests, and travel reimbursements
•Complete review and reconciliation process of training grant budgets
•Ensure compliance with federal training grant regulations for trainees

Requirements:
•Bachelor's degree in business, life sciences, social sciences, communications, or related field
•Four years' of experience advising students in a higher education setting
•Ability to work productively in a fast-paced environment; strong initiative and follow-through
•Strong organizational skills and the ability to multitask over a variety of projects
•Strong attention to detail
•Excellent verbal and interpersonal communication skills
•Strong adaptable writing skills: ability to communicate in diverse written formats and mediums, as well as to tune messages for a wide variety of audiences
•Ability to work both independently with limited supervision and as part of a team
•Intermediate to Advanced Proficiency with Microsoft Word and Excel, electronic calendaring systems, Cloud-based tools
Equivalent education/experience will substitute for all minimum qualifications except where there are legal requirements such as license/certification/registration.
Desired Qualifications:
•Professional experience working with graduate programs (master’s and doctoral) at the University of Washington or another top-tier institution of higher education
•Experience working with UW administrative systems
•Experience working with Canvas and other learning technologies
•Experience with federal training grants or NIH grants
•Interest in health services research and practice
Environmental Conditions:
This position may require occasional evening and weekend work. Some regional and/or national travel may also be required.
